The uncomfortable truth about running a food business in 2026

You must be an amazing baker, or your biryani recipe given by your grandmother  is probably the greatest of all.  For years, you have been a successful home chef who catered to many people. But in 2026,  the hard truth is your food needs to be discovered before it can be loved. Discovery doesn’t happen by accident; it happens through Instagram, on Google , on food delivery apps, online. And if you are not there-or if you are barely there-you are invisible. 

Simple truth 

Whether we like it or not, the hard reality is that your potential customer is spending 3 to 4 hours per day scrolling on the phone, browsing on food delivery apps, looking for dinner ideas on Google. If you are not showing up during those 3 to 4 hours, you don’t exist to them. 

You must be thinking, “My food is good, and I have people who come back for the same order.” But do you know there are 500 people within a 5 km radius of your kitchen who have never heard of you, just because you are not visible enough?

Instagram problem 

Supposed Scenario – You are exhausted, and you have been up since 5 in the morning. Your refined sugar-free cookies came out perfect today with almond flour and jaggery combination. You also have a few queries of shipping them to other cities. 

But your instagram has just five posts this month. With least interaction. It is not that you don’t want to post, but every time you sit down to post something that will capture the eye of someone scrolling, your brain goes dull. You are exhausted from thinking and creating content for your page. 

What takes so long about Instagram 

Let’s be honest about why it is hard. Taking photos of the food is one thing; the toughest part comes after, which involves editing, adapting to templates of your brand’s colour template, writing captions, posting on several social pages to reach customers, and mainly focusing on idea generation. Writing something like “Fresh batch ready” with cookie emoji feels disappointing and boring. 

Your truth : you are not a content creator 

You are not a tech person or a content creator; you are a baker or a chef. No one should expect you to be a master of all. Hiring an agency or a professional social media manager will be a costly affair. The maths doesn’t work. 

What if this is taken care of by technology, and you just have to reach out to use it? You develop the recipes, maintain the quality of your food and allow the tech to do rest for you. 

You are probably thinking that there are thousands of AI tools which are confusing. It feels like an ocean and how do I know which one to use and which one should i actually pay for?

My role 

That is exactly where I come in. Today’s post is primarily about Instagram. Generating post ideas, captions, and templates in just a few hours. I will share exact prompts, tools and simple workflows. Think of it as solving your Instagram problem step by step. In short, 30 posts will be written, designed and scheduled. After that you will just need to check instagram to respond on comments and queries. 

There are many powerful ideas and tools available today, but let’s start with the basics to master and then we scale. Everything can work with just these two tools: Chat GPT and Canva Pro (which are also available for free, but paid versions give you better results). The right prompts will yield amazing results. 

The tools (just two things) 

ChatGPT paid version –  think of it as a copywriter/idea generator that work in seconds. The free plan – the free version works okay, but it can be a bit slow, has lower memory, and offers less context understanding. 

Chat GPT Go (399/- mo) Mid tier – provides more messages, image generation, expanded memory and longer context window with access to GPT-5 (better language model). This is ideal for creators, marketers, students and small businesses. 

Chat GPT plus (1,999/-mo) Premium Tier – full access to advanced powerful GPT 5 model, faster response, generates more content, images, file upload, deeper context remembering and advanced work flows. Best for professionals, heavy creators, researchers and businesses with heavy work flow. 

Canva – comes with a 30 days free trial before you subscribe to the Pro version, but there is a free plan as well, which is ok to start and experiment with basic designs. Offers easy drag and drop edits, templates, designs, images, graphics (but limited)

Canva Pro comes with day plan (69/-) weekly plan (199/-) yearly plan (4000/-) Offers premium tools, templates, brand kit, AI access for design, image, video and 100gb cloud storage. There is a business plan (6500/-) and Enterprise plan as well.

How to use 

You can understand the tool but the key is to make the tool understand your context (prompt). The correct prompt is the most crucial part. Once you know how to set the context and give the prompt it becomes easy. Look at it as explaining the requirement to a new staff member. If your instructions to the new staff  are correct, the result would be what you expected it to be.

To help with initial output, I have generated this prompt, simply copy this exact prompt (change the parts in brackets) to match your line of work.


I run a bakery in [your city/neighbourhood] specialising in [your specialty - e.g., healthy baked goods, artisan breads, custom cakes].
My bestseller is [your signature item - e.g., sugar-free cookies made with almond flour and jaggery].
My typical customers are [describe them - e.g., health-conscious families, people managing diabetes, young professionals, celebration cake buyers].
Create 30 Instagram post ideas for next month that will showcase my products, educate about my ingredients and process, give behind-the-scenes glimpses, and engage my community.
Give me this specific mix:
- 12 product showcase posts (showing different items I make)
- 8 educational posts (baking tips, ingredient benefits, food facts)
- 6 behind-the-scenes posts (my process, my story, early morning prep)
- 4 engagement posts (questions for customers, polls, community building)
Make each idea ONE sentence and number them 1 to 30.

Chat GPT wil give you something like this, and will also ask you, do you want 30 days content with hooks and captions. Should i align it with sales strategy to increase preorders and repeat orders. Should I optimise it for reels vs conversion posts?

Guidelines:

  • Warm, conversational tone (like chatting with a regular customer)
  • 100-150 words maximum
  • Start with a hook that makes people stop scrolling
  • Include specific details that make it interesting
  • End with a clear call-to-action (visit us, order online, DM for details)
  • Add my location: [your neighbourhood], [your city]
  • Include 2-3 relevant hashtags at the very end
  • Sound natural and friendly, not corporate or sales

About my bakery: Name: [your bakery name] Known for: [what makes you special – e.g., “only bakery in Koramangala making truly sugar-free treats”] Voice: [how you want to sound – e.g., “warm and knowledgeable”, “playful and fun”, “professional but approachable”]

Supposed Scenario – let’s say Chat GPT gave you this 

“Many ‘natural’ sweeteners like honey, dates, and maple syrup still raise blood sugar because your body converts them into glucose.
At Sweet Health Bakery, we focus on balanced recipes — using almond flour, healthy fats, and mindful portions — to help reduce sharp sugar spikes.
Our chocolate chip cookies are thoughtfully crafted to taste indulgent while supporting steadier energy compared to refined flour and high-sugar treats.”

The fresh batch is ready today, visit Sweet Healthy Bakery today ot DM to order for delivery across Mumbai. #sugarfreebaking #healthy cookies #mumbaieats 

It takes 30 seconds per caption.You might tweak a word or two to sound more like you, but most of this can be copied. “Ask GPT to write in simple, natural human friendly language. Which will further refine your caption. 

Doing this for all 30 ideas will take about 40 – 50 minutes if you work steadily.

The next step is Make the Graphics 

Open Canva Pro and search for “instagram post bakery”  Pick up a template of your choice, Customise it with your colours and logo. Add one of your product photos. Change the text to match the caption and main message. 

Here is the hack- click duplicate and you have an identical post. Change the photo and caption as per the second post idea. And keep going. This is like an assembly line, each post will take 5 minutes. 

Every 5 posts you can change the template or if you are happy stick with the same template. 

For photos

Take the prepared dish near a window with good light and a clean background. Your phone camera will be able to take good enough photos.

You can also use Canva stock photos which would be available. But there is a chance that someone else with the paid version can pick up the same. But stay tuned, my coming post will also share AI tools that can generate photos using simple prompts. Which will have your touch, and your style.

Last 10 minutes – Schedule Everything

Go to business Facebook and connect your Instagram if you haven’t already. For each post click “create” and upload your Canva created post. Paste your caption and click “schedule”. Select day and time. And repeat for the next 30 posts. 

You have just created 30 days a month of content which will automatically go live. Everyday for the next month your post goes up. And you need to check on comments and DMs only. 

What Actually Changes 

The first week feels weird, as the things are posted without actively doing anything. Your consistent presence on instagram is increasing visibility, which is directly strengthening brand recall.

For under rs 750/- a month – 333/- for canva and 399/- for GPT you unlock powerful design and AI capabilities. You are investing in tools that increase productivity and improve content quality which directly drives revenue. 

The mistakes to watch out for 

Trying to make the caption perfect – GPT first draft is usually good enough. Add a sentence or two of your own personality to differentiate. Don’t greed for better and better options. 

Only posting but never engaging – the post goes live automatically, but it is very important to interact/respond to comments and DMs. This is where the relationship happens. 

Giving up every two weeks – the first month is clunky. You are learning, but stick with it and your speed and content quality will improve with time. 

Questions you probably have 

I am not great with computers. Is it too hard? 

If you use Whatsapp you can do it. GPT works like texting you type questions (you can also speak and it will type for you) and it answers. Canva is like drag and drop , similar to arranging things on a table. You can watch a youtube tutorial for everything. At first it might take longer, but you will fly through it, once you get the hold of it. 

Won’t people know AI wrote it ?

Only if you post exactly what GPT wrote without any edits. 2-3 sentences of your own in each caption . A personal detail, a story from your kitchen, something that happened with a customer. Now it sounds like you because it is you- you just had help with the first draft. 

What if I don’t have good photos?

For a small bakery consistent decent photo beats rear perfect professional photos. People want to see, you are active and reliable. That matters more than photography perfection. Take 5-7 pictures with your phone near the window. Make sure the background is clean. Out of all, pick one you think is perfect. A good photo requires good light and a good composition. 

Can’t I just use the free version? 

You can try for sure, but my suggestion is to sign up for a month and evaluate the result. You can always cancel the subscription if you don’t find any value to it.

Beyond Instagram – Once you are comfortable with the basics, there are more tools that can help you with many things. 

Menu Descriptions – Instead of doing a boring menu use GPT to make it appetising 

Prompt – Write a mouth-watering menu description for my [item name].

Details about the item:

  • Main ingredients: [list them]
  • Cooking method: [how you make it]
  • What makes it special: [your unique touch]
  • Make it 2 sentences maximum. Focus on taste, texture, and what makes it different. Make people want to order it.

Customer service template – When you are getting the same questions 20 times a day? Create a response template. Save the response, and when someone ask you just copy paste and personalise slightly. 

Prompt – I get asked these questions frequently in my bakery:

[List 5-10 common questions like:

  • Do you deliver?
  • Can I customise a cake?
  • What are your hours?
  • Do you take advance orders?
  • Are your products really sugar-free?]
  • For each question, write a friendly 2-3 sentence response that:
  • Answers the question clearly
  • Sounds warm and helpful
  • Includes relevant details (timings, process, etc.)
  • Keep the tone conversational, like I’m speaking to a valued customer.

  • Each video will take 10 -15 minutes, watch them if you are very new to these things. 

One last thing

This will not make you a content creator. It does not add more work to your busy day. It takes instagram off your mental load completely. It will help you build a brand and connect with your potential customers. Try for a month and see what happens.
